Somerset Hills Veloraptors collects only the information needed to respond to family, sponsor, donor, and community inquiries. We use submitted contact details to follow up about the team, sponsorship opportunities, or general questions.

What we collect

Public website forms may collect names, email addresses, phone numbers, organization details, rider details, age or grade, town, riding experience, equipment readiness, accommodation or safety notes, waiver attestations, attendance, and the information you choose to share in your message.

How we use it

We use form submissions to respond to inquiries and coordinate team communication. We also use basic website analytics to understand traffic patterns and improve the site experience.

For guest rides, the registration database is the source of truth. Authorized team staff and coaches may use a private Google Sheet operational copy for check-in, equipment planning, and printed rosters. We record whether a family attests that a NICA waiver is complete; we do not collect or store the signed waiver document.

Retention and future contact

Ride registration data is retained through the active season and the following completed season for safety, operations, and follow-up. Future recruiting contact after the ride is optional. At the retention boundary, personal information is deleted or anonymized unless a legal or safety obligation requires longer retention.

Third-party services

The website may use services such as Google Analytics for aggregate traffic reporting, Resend for transactional form email delivery, Google Workspace authentication and private operational Sheets, Dropbox Sign for NICA waiver forms, and Zeffy for donations.
